One-word check in
Motion: That the minutes from the last meeting are approved.
Seconded: Denise Ives. All agreed
Bank account - Trustees present signed the bank account application forms and also the accountant’s letter of engagement.
Policies - The meeting discussed the content of three draft policies.
Motion: That the Working with Volunteers policy is approved.
Seconded: Kathryn Harkin. All agreed.
Action: Sarah to update the draft Child Protection policy and Policy Vetting policy and bring them back to the next meeting.
Admin role - Nikita and Sarah will do more work on the JD. NIkita will shortlist candidates and conduct phone screening so we can focus on interviewing a few good candidates.
Action: Nikita and Sarah to work on the admin JD and recruitment process.
New board members - The meeting discussed finding new board members. Sarah has asked a contact of hers; Kathryn is going to follow up with someone else. We don’t have particular requirements except an understanding of governance, connection to South D and time! Earlier in the meeting Sarah noted that we need someone to succeed her as chair.
Action: By the next meeting, all trustees to approach one contact about potentially joining the board.
Māori engagement - Sarah reported back on her conversation with a potential contractor. The meeting also talked about whether there might be other channels or avenues we could use.
Actions:
Sarah to follow up with Hurihia regarding Māori engagement.
Nikita to follow up with Juliet about privacy and data.
Sarah to email trustees the latest financial reports.
